Terms of Service

These Terms of Service govern your use of Groundwork Intelligence's AI tools and services for facilities management helpdesks. By requesting a product overview call, participating in testing, or using our services, you agree to these terms. Please read them carefully — we've kept them as plain and straightforward as possible.

1. About Us

Groundwork Intelligence is an AI tools company operated by Scott Norrington, based in the United Kingdom. We develop AI tools specifically for facilities management helpdesks that assist with processing service requests while maintaining human oversight on all final decisions.

2. Services

We offer the following services:

Service specifications are discussed during product overview calls and tailored to your specific helpdesk volume and integration requirements.

3. Demo and Trial Terms

Demonstrations: Product demos are provided free of charge and typically last 15 minutes. Demos may use your actual service request examples (with appropriate anonymisation) to show realistic processing results.

Service Trials: Limited-term trials may be offered to qualified prospects based on helpdesk volume (typically 100+ requests per week), existing system compatibility, and operational fit.

Data Usage: During demos and trials, we may process your service request data to demonstrate functionality. All data is handled securely and in accordance with our Privacy Policy.

Implementation Support: Demos and trials include technical support to understand integration requirements with your existing email systems, helpdesk platforms, and FM software.

4. Data Processing and Privacy

Service Request Data: During testing, our AI tools will process service request data to provide categorisation, contractor matching, and response suggestions. All processing is conducted in accordance with UK GDPR and our Privacy Policy.

Anonymisation: Where possible, we anonymise service request data before processing. Any data used for AI training or improvement is thoroughly anonymised and cannot be traced back to specific individuals or companies.

Data Security: We implement appropriate technical and organisational measures to protect your data, including encryption, access controls, and regular security audits.

Sub-processors: We may use trusted third-party services (AI providers, form processors) to deliver our tools. We will notify participants of any material changes to our sub-processor arrangements.

Data Retention: We retain testing data only as long as necessary for the testing program and AI improvement purposes, in accordance with our Privacy Policy.

5. Confidentiality

We treat all information you share with us — including your helpdesk processes, service request patterns, contractor networks, and business operations — as confidential. We will not share this information with third parties without your consent, except where required by law. We will not attribute feedback or insights to your company without explicit consent.

Testing participants agree to keep details of our AI tools, methodologies, and performance confidential during the testing phase.

6. Intellectual Property

All AI tools, algorithms, software, and methodologies developed by Groundwork Intelligence remain our intellectual property. Testing participants receive a limited licence to use these tools during the testing program for their internal helpdesk operations only.

Any feedback, suggestions, or improvements provided by testing participants may be incorporated into our AI tools without compensation, though we will acknowledge significant contributions where appropriate.

7. Service Availability and Limitation of Liability

We endeavour to notify testing participants of planned downtime within 24 hours where practicable. Our AI tools are provided on an "as is" basis during the testing phase. We make no warranties about their accuracy, reliability, or suitability for any particular purpose.

Testing participants acknowledge that our AI tools are in development and may contain errors, inaccuracies, or limitations. Our tools are designed to require human review and approval of all AI recommendations before any actions are taken.

We are not liable for any indirect, consequential, or special loss arising from use of our AI tools during testing, including but not limited to loss of revenue, operational disruption, or reputational damage.

Our total liability to testing participants shall not exceed £1,000 for any claim arising from the testing program.

Nothing in these terms limits our liability for fraud, death, or personal injury caused by negligence.

9. Future Commercial Terms

Following the testing phase, we intend to offer commercial AI tools and services. Testing participants will receive advance notice of commercial pricing and terms, along with priority access to the commercial platform at pricing equivalent to or better than general launch pricing.

There is no obligation for testing participants to purchase commercial services, and no obligation for us to offer commercial access to all testing participants.

Either party may terminate participation in the testing program at any time with reasonable notice. Upon termination:

We may update these terms from time to time as our testing program and services evolve. We will notify testing participants by email before any material changes take effect. Continued participation after that date constitutes acceptance of the updated terms.

12. Governing Law

These terms are governed by the laws of England and Wales. Any disputes will be subject to the exclusive jurisdiction of the courts of England and Wales.
